The Fieldale laboratory relied on Access databases and Excel spreadsheets for laboratory data management, but these tools came with major limitations. Tracking changes was nearly impossible, leaving no reliable audit trail. Determining whether all samples were processed, testing was completed and protocols followed required extensive manual effort. Nor could the team easily determine the method used or identify the responsible technicians without wading through extensive paperwork.
The Fieldale lab required LIMS software to simplify sample login, enhance tracking, ensure accurate result entry with a detailed audit trail, support strong QA/QC processes, and enable seamless electronic data transfer with laboratory instruments.

Our Solution
The Fieldale laboratory, proudly accredited under ISO 17025 and USDA FSIS’s laboratory program, elevated its operations with the implementation of Confience’s SaaS Food & Beverage LIMS solution. This upgrade introduced complete traceability from the moment a sample enters the front door to final reporting. With every technician, method, and piece of equipment meticulously tracked, the laboratory now ensures precision and transparency—without the hassle of manual paperwork reviews.
Any changes to validated and/or approved results will spawn an audit trail. The LIMS audit trail stores the original result, the date and time stamp of the original result, the person that entered the original result and the new result, the date and time stamp of the new result, the user that made the change, and finally the new result. In addition, the LIMS will prompt the user to enter a reason for the change of the result.
The LIMS software allows the lab to effortlessly track what has been ordered, completed, or is still pending. The lab supervisor also gains instant insights into monthly test volumes and types, ensuring seamless reporting to their accounting team.
The Fieldale lab’s top LIMS feature is reporting. Previously, the team faced the tedious task of recreating reports for each “new/different” type of sample/customer because the static reporting templates could not adapt to varying methods. Now, with the LIMS dynamic reporting functionality, flexibility has replaced frustration.
The lab also truly values the flexibility to customize the LIMS to meet their specific needs. Being able to make changes independently—without constantly relying on the Confience support team—makes a significant difference.
Another key benefit for the lab is instrument integration. Data flows seamlessly from instruments into the LIMS database, eliminating transcription errors and speeding up workflows. The laboratory interfaced a Leco Protein Analyzer, PCR, and a NIR Spectrometer.
The lab was concerned with the maintenance of IT infrastructure, particularly servers, which can be both complex and costly. Since Confience’s SaaS solution is hosted in the cloud, the need for the lab to bear the hefty initial expenses associated with server acquisition and setup was eliminated.
Additionally, Confience’s SaaS team manages all aspects of the laboratory information management system software, including maintaining servers, applying all updates, backups, and technical support. Specialized IT staff are not required to install, update, or maintain the system. This has not only reduced the workload on laboratory staff but also minimized downtime, enhancing overall productivity and operational continuity.
